1. Event Overview & Basic Schedule
Event Purpose
TOKYO WATCH WOW! is a specialized event designed to connect independent watchmakers and microbrands with a passionate community of watch enthusiasts. Responding to the growing demand among collectors to experience timepieces in person and connect directly with their creators, the event establishes a dynamic, engaging alternative space within the traditional watch market.
Basic Event Specifications
Event Name: TOKYO WATCH WOW! 2026
Date & Hours: Saturday, November 7, 2026 (11:00 – 18:00)
Venue: Warehouse Terrada B&C HALL / D HALL (2-1-3 Higashi-Shinagawa, Shinagawa-ku, Tokyo 140-0002) (Access: 4–5 minutes walk from Tennoz Isle Station (Tokyo Monorail / Rinkai Line))

Event Day Schedule (Saturday, November 7)
10:00 – Exhibitor Additional Entry & Final Booth Setup
11:00 – Doors Open & Exhibition Commences (Open to Public)
17:30 – Final Visitor Entry
18:00 – Exhibition Closes / Visitor Exit
18:00 – 19:00 – Dismantling & Pickup Window for Outbound Cargo Shipping (Pickup service can be arranged upon request)
19:00 – 20:00 – After-Party (Optional; open to registered brands and organizers)
22:00 – Complete Facility Breakdown & Venue Close
2. Booth Specifications & Common Equipment
Standard Booth Package Specifications
Booth Size: Width (W) 2.0 m × Depth (D) 2.0 m (Total Usable Area: 4.0 sq m)
Main Table (1 Unit): W 1,800 mm × D 600 mm × H 1,000 mm (Designed for use with high stools. Supplied with a high-quality plain black tablecloth)
Brand Signage: A unified brand signboard will be produced and installed by the Organizer. Exhibitors do not need to prepare their own signs.
Payment Terminal: A 'SQUARE' payment terminal (supporting credit cards and major Japanese contactless payments) will be provided free of charge to each booth.
Display Limits: All display items, tables, and panel stands must remain strictly within the designated 2.0 m × 2.0 m booth space. Tabletop trays, stands, and brand-specific displays are permitted.
Power Supply: At least one standard power outlet (100V AC) will be provided at each booth by the Organizer. Please bring your own power strip/extension cord if connecting multiple electronic devices.
3. Setup, Dismantling & Shipping Guide
Pre-Event Setup Schedule & Cargo Delivery
Pre-Event Delivery Window: Friday, November 6, 13:00 – 19:00 To ensure a smooth start on the morning of the event, exhibitors must arrange for their display materials, showcase equipment, and exhibited timepieces to arrive at the venue strictly during this pre-event window.
Shipping Address for Deliveries: Attn: TOKYO WATCH WOW! 2026 Secretariat Office c/o: Warehouse Terrada D HALL, 2-1-3 Higashi-Shinagawa, Shinagawa-ku, Tokyo 140-0002, Japan Note: You must attach the Organizer-provided shipping label to the outside of all packages, clearly indicating your Assigned Booth Number, Company Name, Representative Brand Name, and Package Count (e.g., 1 of 3).
Dismantling Schedule & Outbound Shipping Options
Dismantling Window: Saturday, November 7, 18:00 – 19:00
International Outbound Shipping: If you require outbound shipping back to your home country, the Secretariat can temporarily hold your cargo on-site and arrange proxy international shipping on your behalf after the event. Please note that all outbound shipments arranged by the Secretariat are handled exclusively via DHL. Requests for other shipping carriers cannot be accommodated. Please notify the Secretariat in advance if you wish to utilize this service. (All shipping costs, customs duties, and customs documentation must be prepared and borne by the Exhibitor).
4. Cancellation Policy & Disclaimers
Cancellation Terms
If a cancellation causes actual financial damages to the Organizer or its affiliates that exceed the exhibition fee (e.g., custom signage production costs, individual fixture cancellation fees), the Organizer reserves the right to invoice the Exhibitor for these actual costs separately.

- Management of Exhibits & Valuables: The Organizer assumes no security or compensatory liability for any loss, theft, damage, or defacement of timepieces, display equipment, or personal belongings during exhibition hours or overnight. Exhibitors must manage their inventory strictly at their own risk and take preventive measures, such as securing property insurance and removing high-value items overnight.
- Force Majeure Cancellation or Modification: In the event that it becomes impossible to hold the Event, or if the duration of the Event is shortened or modified due to natural disasters, severe weather, transport disruptions, pandemics, civil unrest, or any other force majeure events beyond the Organizer's control, the Organizer assumes no legal liability for any incurred expenses (e.g., travel, accommodation, custom decoration). Any potential refund of exhibition fees will be determined reasonably by the Executive Committee based on unrecoverable common operating expenses incurred up to that date.

5. Security & Venue Operational Rules
Security & Inventory Management (CRITICAL)
Due to the high-value nature of luxury timepieces, strict security management within each booth is paramount. Exhibitors must adhere to the following:

- Attending Visitors: Never leave timepieces unattended on tables. Keep timepieces within sight at all times when presenting them to attendees. When multiple visitors are at your booth, coordinate among booth staff to ensure no visual blind spots.
- Absences & Event Close: Never leave your booth completely unattended during event hours (at least 1 staff member must be present). During the After-Party, after closing, and overnight, do not leave watches, payment terminals, laptops, or cash unattended. Always store high-value items securely or remove them from the venue. The Organizer assumes no liability for overnight theft or loss.
Height & Display Restrictions

- Height Limits: The maximum height for fixtures along the back wall of the booth is 2.1 m. The maximum height along the sides and front of the booth is 1.2 m.

Venue Preservation Rules (Warehouse Terrada Regulations)
Under venue regulations, the following acts are strictly prohibited:

- Constructing temporary structures or additions on open grounds within the facility premises.
- Bringing in excessive weight items, hazardous/flammable materials, animals, plants, or engaging in acts harmful to venue maintenance or disruptive to neighbors.
- Performing structural modifications or alterations that reduce facility durability.
- Occupying unassigned spaces, installing third-party signage, or setting up unauthorized phone lines.
- Allowing Anti-Social Forces (organized crime groups) to use the venue as an operational base.
- Permitting Anti-Social Forces or associated individuals to enter the venue.
- Engaging in violent, rude, or aggressive behavior that causes distress to staff, neighbors, or passersby.
- Parking vehicles, leaving items, or entering unauthorized areas outside designated loading zones.
- Using high-adhesion tapes (e.g., duct tape, heavy-duty double-sided tape) or driving nails/screws into venue walls, pillars, or structures.
- Smoking anywhere within the Warehouse Terrada premises or facility.
- Eating or drinking in non-designated areas.
- Using designated forbidden spaces, movable walls, or restricted wall surfaces without permission.
Signage & Display Image Guidelines
To maintain a high-end brand aesthetic across the venue:

- Avoid expressions that violate public order/morals or cause discomfort to visitors.
- Avoid excessively flashy colors, overcrowded POP displays, or aggressive promotional text that degrades the overall visual image.
- Keep price tags and product descriptions clean, simple, and elegant.
6. Operational Guidelines
- Photography & Social Media: Photography and social media posting within the venue are permitted. However, please exercise courtesy to avoid capturing visitors or neighboring booths without consent.
- Food & Beverages: Eating inside individual booths is generally prohibited. Distributing food/beverage samples to attendees is not permitted.
- Wi-Fi Environment: Dedicated exhibitor Wi-Fi is not provided at the venue. If an internet connection is required, please bring a mobile Wi-Fi router or cellular hotspot.
- Waste Disposal: Exhibitors must take all trash and garbage generated within their booth back with them upon teardown.
- Vehicle Delivery Restrictions: Roadways surrounding the venue are narrow. If arriving with a large cargo truck, you must confirm parking access with the Secretariat in advance.
7. Submission Checklist & Deadlines
Please ensure the following applications/notifications are submitted to the Secretariat prior to the deadlines:

- SQUARE Payment Terminal Application: September 30 (Wed) (Request via Application Form)
- After-Party Participation RSVP: October 20 (Tue)
- Move-in / Move-out Vehicle Parking Application: October 26 (Mon)

On-Site Emergency Contact
If an urgent issue arises during the event (e.g., fixture damage, payment terminal failure, medical emergency), please immediately notify an on-site Secretariat staff member.
